Bachelor’s degree preferably in Office Administration, Business Management, or any related course

Additional Competency:


  1. Good written and verbal communication, time management and organization skills;

  2. Keen attention to detail;

  3. Demonstrate intermediate knowledge in the use of MS Office (Words, Powerpoint, Excel, etc.) and other web-based database and information;

  4. With good typing and numeric key entry skills (60 WPM);

  5. Knowledge in office administration and records management;

  6. Able to work harmoniously, competently and effectively even under pressure;

  7. Willing to work long hours, even on weekends and holidays, especially during disaster response operations.


JOB DESCRIPTION:

Under immediate supervision, performs secretarial, administrative, and clerical functions, and does other related works.


Functions and Responsibilities:

  1. Performs secretarial, administrative and clerical functions for the Office of the Director.

  2. Facilitates pertinent papers from the divisions to be reviewed and approved by the Director.

  3. Routes and distributes incoming documents and emails from NRLMB to the Central Office.

  4. Tracks, checks, and ensures completeness and appropriateness of incoming and outgoing documents.

  5. Records outgoing documents in the data tracking system and routes to the concerned OBSUs/divisions.

  6. Prepares and files incoming and outgoing communications and monitors submission of reports and other documents required by the office.

  7. Records, requests and monitors office supplies requirements and issuances.

  8. Maintains files and records related to the office functions and services.

  9. Assists in the general functions of the Office of the Director.

  10. Performs other tasks that may be assigned from time to time.

9. Individual Performance Contract Rating (IPCR) in the last rating period or any of its equivalent, if applicable.
