 JOB DESCRIPTION

Under immediate supervision, shall provide support to the Management Division and its Sections governing clerical and administrative tasks.

Functions and Responsibilities:

1.Drafts memorandum and basic legal documents for both internal and external stakeholders;

2.Assists the Section Head towards logistical requisition during employee engagement activities, alignment meetings and conferences;

3.Assists Sections towards their administrative appropriation and unsure that divisions records management are updated following the necessary labelling, safekeeping, color coding and monitoring;

4.Assists in applicable system administration / computer application management;

5.Attends and accommodates administrative duties and responsibilities;

6.Provides secretariat supports to all sections and ensure to accomplish minutes of the meeting and/or SOAD and submit o time;

7.Assist and support the Supervising Administrative Officer and Section Head towards manual creation of the Management Division together with its monitoring of process flow and work flow and possible amendments and updates;

8.Assists and supports the Organization Development Section towards organizational structure and office manual review;

9.Assists in the Capacity Building Activities of the Division;

10.Submits and drafts communication plans of the Division annually and for monitoring on a quarterly basis;

11.Monitors Technical Assistance Plan of the Division;

12.Ensures that office properties and assets has its updated monitoring and all requisitions pertaining to this is accomplished at given timeline; and

13.Performs other task that may be assigned by the immediate supervisor.

5.Manual Development reports and monitoring;

6.Communication Plan Reports

7.Technical Assistance Plan Reports;

10.Other reports as may be required

7.Valid NBI/Police Clearance or proof of payment i.e. official receipt of the NBI/Police clearance;

8.Authenticated copy of Civil Service Eligibility and/or Valid PRC ID/Integrated Bar of the Philippines (IBP) ID/proof of payment or schedule of appointment for the PRC/IBP renewal license; and 

9.Performance Rating in the last rating period or its equivalent, if applicable.

 Note: For internal (including COS workers) and external applicants from public sectors, latest and duly approved Individual Performance Contract Rating (IPCR) is required.
