JOB DESCRIPTION

Under the supervision of the Administrative Officer (AO) V and AO IV, FMS-OASD, the Administrative Assistant II shall be part of a team as incoming/outgoing of different communication documents from the respective focal and encode to the monitoring system and reviewed prior to the signature of the Director.

Functions and Responsibilities:

1.Receive different communication documents from the respective focal and encode to the monitoring system;

2.Responsible for the delivery and updates on Electronic Document Transaction Management System (EDTMS) for incoming and outgoing documents;

3.Maintenance of files (filing and scanning of documents);

4.Other task/functions as may be assigned by the supervisor; and

5.Provision of additional service as authorized in the exigency of service which shall be compensated accordingly.

Job Outputs:

1.Reviewed, received, encoded and endorsed to concerned staff the different communication documents and other financial documents for processing;

2.Tracked documents through Electronic Data Tracking Management System and coordinated with other offices on various concerns and follow ups;

3.Scanned and Filed OASD Communications; and

4.Performed other task/functions as may be assigned by the supervisor.

8.Authenticated copy of Civil Service Eligibility and/or Valid PRC ID/Integrated Bar of the Philippines (IBP) ID/proof of payment or schedule of appointment for the PRC/IBP renewal license; and 

9.Performance Rating in the last rating period or its equivalent, if applicable.
