JOB DESCRIPTION


  • Receives incoming documents for the division

  • Facilitate outgoing of signed/commented documents. 

  • Sorts, classifies and distributes documents to concerned staff/division/office for appropriate action;

  • Faxes, scans and/or email copies of documents and office communications to different division/section/unit offices for their information and appropriate action;

  • Files, stores and retrieves copies of memorandum, guidelines and other centralized documents of the division to ensure that there are available sources which can serve as references for staff/basis for actions, etc.

  • Types different correspondences as needed.

  • Updates and maintains the filing system of the division.

  • Answers phone calls, assists visitors/clients of the division and refers their queries to concerned staff/division/section/unit;

  • Attends to all administrative requirements of the division (request for venue, meals, invitations; photocopying and packaging of materials/documents; equipment to be used) for the conduct of activities/meeting of the division, as needed;

  • Compliance to the directives from ARDA and/or other higher officials.

  • Performs other tasks as may be delegated.
