JOB DESCRIPTION

Under immediate supervision of the Section Head of RMDS of the AS-RAMD, performs administrative and technical functions relative to Records Management; performs management of file codes on official records and documents in conformity with the established file classifications code; retrieves, sorts, classifies records and conduct records disposal; provide technical assistance on records management, assist in organizing/conducting workshop/meetings, draft communications, and does other related work.

Functions and Responsibilities

1.Evaluate and verify all incoming records for storage and destruction are processed in accordance with the approved DSWD Records Disposition Schedule (RDS) and National Archives of the Philippines (NAP) –General Records Disposition Schedule (GRDS) and established procedure;

2.Review and assessed Request of Records for Disposal from different OBSUs;

3.Prepared Request Authority for Records Disposal for approval of NAP;

4.Provides technical and consultative services to the OBS and Field Offices related to the record management;

5.Assist in organizing and conducting training workshops on Records Disposition Program;

6.Conduct inspection audit particularly of the records maintenance and clearance of the verandas in case of emergency;

7.Assist in the review of submitted inventory of office records holding;

8.Assist in the development/enhancement and implementation of administrative plans, programs, policies, standards and guidelines related in record management;

9.Draft letter, correspondences, proposals and reports pertaining to records management;

10.Assigned as RAMD 7s Focal, and PAFP of RAMD-RMDS and ensure necessary requirements are submitted on time and aligned with the existing rules and regulations; and

11.Perform other related tasks as assigned or required.

3.Updates, Feedback and accomplishment reports;

4.Updated training presentations; and

5.Technical assistance performance report/accomplished Provision Satisfactory Survey Form.

Initial Shortlisting:

Obtain 75% or 45 points of the maximum total score of Education, Training and Experience; Maximum Total Score of ETE only - 60%; 75% of 60 = 45%

Final Shortlisting:

Top five (5) or less highest rating but overall rating should not be less than 80%; If two (2) or more vacant positions with the same title and salary grade are published at the same time, and there is only one (1) longlist applicants provided by HRMDS, additional two (2) applicants for every regular position will be added to the top five (5) highest rating. However, all the additional shortlisted positions should meet the 80% cut off.

 

Consists of ETE, IQT, Special Examination, Competency-Based Interview and Performance Rating.

9.Performance Rating in the last rating period or any of its equivalent, if applicable.
