JOB DESCRIPTION

Generally, performs clerical and/or administrative functions in the Office of the Bureau Director; and does other related work.

Functions and Responsibilities:

1.Receives and records all incoming and outgoing communications;

2.Encode/assist in the preparation of confidential correspondence e.g. letters, memorandum, reports etc.;

3.Answer and makes telephone calls;

4.Prepare/monitor the Project Procurement Management Plan (PPMP) of the Bureau;

5.Maintain database/record of office supplies and equipment;

6.Prepare/encode request forms for suppliers/equipment/activities needed by the Bureau;

7.Prepares obligations request and disbursement vouchers;

8.Files correspondences and other related documents; and

9.Perform other functions that may be assigned by the Bureau Director and/or other officials and staffs.

Job Outputs:

1.Recorded incoming and outgoing documents;

2.Routed incoming and outgoing documents;

3.Records Management; and

4.Updated Database as assigned.
