JOB DESCRIPTION
The Administrative Assistant II shall perform a full range of secretarial duties and coordinates administrative activities for the Office of the Executive Director-Deputy Executive Director (OED-DED).
Functions and Responsibilities:
1. Sorts, logs, tracks of and coordinates timely action to all incoming documents to the OED-DED in consultation with DCOs/Executive Assistant of OED-ED and other concerned Divisions/Units;
2. Effectively coordinates OED-DED’s schedules by maintaining calendar of activities and arranging appointments, meetings, and travel in accordance with JJWC’s procedures;
3. Provides efficient reception services by proper screening of incoming telephone calls, taking accurate messages, dealing with queries from internal/external callers to ensure they are referred in a timely manner to OED-DED and/or concerned staff;
4. Drafts memoranda, correspondences, and other relevant office documents in timely and accurate manner;
5. Assists the Unit Document Control Officer (UDCO) of the Office of the Executive Director (OED);
6. Assists in providing Secretariat support during OED-initiated activities including but not limited to drafting of memo/authority, confirmation of participation, reproduction of training materials, facilitating requests for supplies and payment, etc;
7. Relieves other Administrative Assistants under OED when they are absent, as required; and
8. Performs other administrative tasks including making copies of documents, filling-up of forms and routine endorsements, and other tasks as may be assigned by the immediate supervisor.
Job Outputs:
1. Secretarial and administrative support functions for OED-DED performed;
2. Timely action on 100\% of incoming documents to OED-DED facilitated; and
3. Updated data tracking system.

5. Copy of duly signed Individual Performance Contract Review/Summary of Rating of Performance Assessment in the present information, if applicable; and
6. Photocopy of Transcript of Records.
