JOB DESCRIPTION

Under immediate supervision, performs administrative support and/or clerical functions in the Bureau and does other related work.

Functions and Responsibilities:

1.Facilitate and purchase online airline tickets;

2.Prepare/facilitate Summary of Air Transport Services Process (SATSP) payment;

3.Facilitate bureau online requests from GASSG for vehicle, use of conference rooms, maintenance services, janitorial services among others;

4.Prepare an inventory report to the Bureau Director of all STB equipment and its status (i.e., unserviceable, for disposal, and for turn over to concerned bureau);

5.Maintain proper storage, stock rooms for proper safekeeping of issued properties;

6.Monitor movement of properties through preparation of the following forms, gate pass, equipment borrowed slip (EBS), furniture and equipment transfer slip (FETS), portable equipment sticker pass (PESP);

7.Assist in the conduct of physical count/inventory of property and equipment;

8.Serve as designated property and supplies custodian such as prepare inventory and distribution of supplies;

9.Assist in the issuance of the property accountability receipt for signature of accountable person/staff;

10.Review and reconcile details e.g., serial number, property number, specification details with the specifics of the actual property received;

11.Facilitate turn-over/surrender defective and/or unutilized property through PETS;

12.Maintain a database/record of all borrowed and returned equipment;

13.Act as focal person or link of the OBSU to the Procurement Management Service;

14.Consolidate the Project Procurement Management Plans (PPMP) of the divisions;

15.Prepare and submit the OBSU’s PPMP in accordance to the approved Work and Financial Plan (WFP) and its revision, if any;

16.Prepare and submit the OBSU’s Requisition and Issue Slip (RIS) and Purchase Request (PR) for supplies, equipment and repair of equipment including the necessary supporting documents;

17.Manipulate well-versed with Google Workspace and Microsoft Office applications; and can easily navigate with technology-based platforms and/or systems; and

18.Perform other related task as assigned by the Director.

Job Outputs:

Under general supervision of the Director III, serves as Personnel Administration Focal Person (PAFP) and is responsible for the general incoming/ outgoing of documents via emails.
