JOB DESCRIPTION
Under immediate supervision, and in accordance with existing guidelines, rules and regulations and protocols, performs a variety of skilled computer operation tasks and clerical functions.
Functions and Responsibilities:
1. Encode/assist in the preparation of draft communication, e.g letter, memoranda, reports, and the likes;
2. Acts as the Primary email custodian of the HRMDS email;
3. Acts as the Primary records officer of the HRMDS and performs functions as such;
4. Acts as the HRMDS alternate 7S focal;
5. Acts as the HRMDS Air Transport Reservation Officer (ATRO);
6. Perform secretarial functions to the HRMDS Director.
7. Acts as additional assistant to the HRMDS Budget officer;
8. Acts as additional assistant to the HRMDS Procurement officer; and
9. Other related tasks may be assigned from time to time.
Job Outputs:
1. Letters/Memoranda;
2. Records monitoring sheet;
3. Disposal records;
4. Minor budget and procurement related documents;
5. 7s related documentations;
6. Plane ticket booking for official travel of HRMDS personnel; and
7. Other tasks as instructed by the HRMDS Director.

7. Certificate/s of Employment;
8. For vacant Division Chief positions only: Service Record and/or Certification with actual duties and responsibilities as certified by the Human Resource Management Officer or any authorized representative. (Note: Special Order or Designation Order should also be attached as additional supporting document/s);
9. Valid NBI Clearance or proof of payment i.e. official receipt of the NBI clearance;
10. Authenticated copy of Civil Service Eligibility and/or Valid PRC ID /proof of payment or schedule of appointment for the PRC renewal license; and
11. Individual Performance Contract Rating (IPCR) in the last rating period or its equivalent for external applicants (Performance Evaluation/Appraisal) from the previous/current employer.
