JOB DESCRIPTION

Under general supervision, the Administrative Aide IV updates on real-time basis, the data corresponding to the process and milestone under the Procurement Management Section (PPMS) in the Procurement Monitoring Tool (PMT),  provide periodic update on the status of PRs received and processed,  facilitate the incoming and outgoing of documents managed by the PPMS;  answers queries of Designated Procurement Officers on the status of their requests; maintain a systematic filing system of relevant documents kept by the PPMS, does other tasks as may be assigned by the Division Chief and/ the Director of the Administrative Service – Procurement Management Division.

Functions and Responsibilities:

1. Update the Procurement Monitoring Tool on real-time basis;

2. Answer queries of the Designated Procurement Officers on the status of request based on the PMT;

3. Receives and records incoming / outgoing documents;

4. Attends to the walk-in Suppliers/ OBSU representatives and refers to concerned Procurement Officer;

5. Collaborate with other PMD Section’s Tracking Officers;

6. Answers telephone calls;

7. Submits periodic reports;

8. Maintains systematic filing system; and

9. Does other tasks as maybe assigned

Initial Shortlisting:

Obtain 75% of the minimum total score of Education, Training and Experience (ETE) 


Maximum Total Score of ETE only - 60\%

75% of 60 = 45%


Second Shortlisting:

Top five (5) highest rating but overall rating should not be less than 80%


If two (2) or more vacant positions with the same title and salary grade are published at the same time, and there is only one (1) longlist applicants provided by HRMDS, additional two (2) applicants for every regular position will be added to the top five (5) highest rating. However, all the additional shortlisted positions should meet the 80% cut off.


Consists of ETE, IQT, Special Examination, Competency-Based Interview and Performance Rating.

9.Certificate of Employment;

10.Scanned copy of NBI Clearance or proof of payment i.e. official receipt of the NBI clearance; and 

11.Scanned copy of Individual Performance Contract Rating (IPCR) in the last rating period or its equivalent for external applicants (Performance Evaluation/Appraisal) from the last/current employer.
