JOB DESCRIPTION
Under general supervision of the Director IV, assists in the performance of administrative support and clerical functions and does other related works.
Functions and Responsibilities:
1. Receives, acknowledges, and encodes the document in the EDTMS;
2. Record, track, and farm-out all documents acted upon by the Bureau Director and keep track incoming documents through EDTMS;
3. Follow-up documents with due dates for submission to BD and other OBSUs;
4. Email correspondence to OBSUs, FOs, other agencies, and STB staff;
5. Prepare/ review routine correspondences and documents such as administrative memorandum;
6. Assist in coordinating with concerned staff and divisions regarding the Director’s instructions;
7. Coordinate with the concerned offices for BD related meetings/activities; and
8. Adherence to 7S, Ease of Doing Business, ISO and document control policies
Job Output:
1. Weekly report on major documents for action
2. Annual calendar of leaves

6.Scanned authenticated copy of Certificate of Grades for Master’s Degree earned units (If applicable);
7.Copy of Special Order or Certification indicating the supervisory/management experience/functions signed by the HRMO or any authorized representative (for Division Chief positions only/if applicable);
8.Scanned copy of certificate of relevant trainings and seminars attended (If applicable);
9.Certificate of Employment;
10.Scanned copy of NBI Clearance or proof of payment i.e. official receipt of the NBI clearance; and
11.Scanned copy of Individual Performance Contract Rating (IPCR) in the last rating period or its equivalent for external applicants (Performance Evaluation/Appraisal) from the last/current employer.
