ADMINISTRATIVE AIDE IV (CLERK II)
CSC PRESCRIBED QUALIFICATION STANDARDS
PREFERRED QUALIFICATIONS (COMPETENCY-BASED)
ADDITIONAL COMPETENCY
1. Computer literate and knowledge in the use of MS Office Word, MS PowerPoint, Excel;
2. Knowledge in records management;
3. Attention to details; and
4. Able to work harmoniously, competently and effectively even under pressure.
JOB DESCRIPTION
Under general supervision, performs clerical functions, and does other related works.
Functions and Responsibilities:
1. Receive incoming communications, documents, and telephone calls.
2. Prepare certificates, endorsements, etc.
3. Handles the data tracking of incoming and outgoing documents to and from OBSUs.
4. Properly maintain the records/files of the Administrative Division.
5. Monitor submission of reports and other documents required by the Office.
6. Perform other related tasks that shall be assigned from time to time.
Job Outputs:
1. Data tracking system of incoming and outgoing documents.
2. Consolidated files/records of their unit.
3. Other reports required by the Office.

5.Scanned authenticated copy of Transcript of Record and/or Diploma;
6.Scanned authenticated copy of Certificate of Grades for Master’s Degree earned units (If applicable);
7.Copy of Special Order or Certification indicating the supervisory/management experience/functions signed by the HRMO or any authorized representative (for Division Chief positions only/if applicable);
8.Scanned copy of certificate of relevant trainings and seminars attended (If applicable);
9.Certificate of Employment from the last/current employer;
10.Scanned copy of NBI Clearance or proof of payment i.e. official receipt of the NBI clearance; and
11.Scanned copy of Individual Performance Contract Rating (IPCR) in the last rating period or its equivalent for external applicants (Performance Evaluation/Appraisal) from the last/current employer.
