Education

:

Graduate of any two-year course or has completed at least two years of undergraduate education

Experience

At least 1 year of relevant experience in any of the following fields: records management, office administration, data management, etc.

Training

MS-environment literate, use of productivity tools or use of Training: specific applications; proficient in oral and written communication skills; 8 hours of relevant training

JOB DESCRIPTION

Under the general supervision of the Deputy Program Manager for Support, provides administrative; clerical and secretarial support to the ODPMS. Support functions include but are not limited to scheduling of appointments, tracking, filing and management of documents and communications, and provides overall administrative support to the ODPMS and to the Support Cluster Divisions, when necessary.

Functions and Responsibilities:

1.     Maintain and update documents through the electronic document tracking and management system (EDTMS);

2.     Prepares related communications as may be necessary or as instructed by the DPMS.

3.     Provide administrative support to the staff and to the DPMS;

4.     Review and track all incoming and outgoing communications and ensure proper records filing;

5.     Facilitates and makes sure all related communications are properly endorsed to the recipient and vice versa;

6.     Coordinate with concerned OBSUs or NPMO Divisions on administrative concerns such as but not limited to procurement, maintenance and repairs, human resource, and administrative concerns, etc.; and

7.     Perform other related functions as may be assigned by the Supervisor.
