JOB DESCRIPTION 

Under general supervision, provides high-level administrative support to the HRMDS Director and Divisions by conducting research, preparing statistical reports, handling information requests, managing performance of clerical functions, monitoring of the status of commitments of the HRMDS, and following up appropriate actions of Divisions and Offices/Bureaus/Services.

PRIMARY TASKS

1.     Conducts research, collects and analyses data to come up with information and reports needed by the HRMDS;

2.     Prepares and edits communications, correspondence, memoranda, reports, presentation materials and other documents needed by the Director;

3.     Prepares agenda, minutes of meeting and/or resolutions;

4.     Liaises with Division Chiefs and other internal staff at all levels;

5.     Analyses incoming correspondence and distributes them to concerned Divisions/staff or forwards to the Director the documents needing his attention/action;

6.     Establishes tracking and monitoring systems for urgent matters especially those with set timelines to ensure compliance with the ease of doing business timelines;

7.     Maintains confidentiality and privacy of information in compliance with the Data Privacy Act;

8.     Analyzes routine operating processes and procedures and recommends improvement/s, if necessary, to ensure smooth and efficient office operations;

9.     Provide assistance to COVID-19 response of HRMDS:

a.     Lead in the contact tracing of personnel exposed to probable and confirmed cases in accordance with DOH protocols;

b.     Coordinate with focal persons of Offices/Bureaus, Services and Field Offices on the veracity of close contacts

c.     Recommend follow-thru actions of close contacts and provide relevant information; and

d.     Provide assistance in the maintenance and updating of COVID-19 database.

10.   Does other related tasks as may be assigned from time to time.
