ADMINISTRATIVE ASSISTANT II

Place of Assignment: Standards Bureau

CSC PRESCRIBED QUALIFICATION STANDARDS

Education: Completion of two (2) year studies in College or High School graduate with relevant vocational/trade course

Experience: One (1) year of relevant experience

Training: Four (4) hours of relevant training

Eligibility: None required

PREFERRED SPECIFIC REQUIREMENTS

1.     With at least two (2) years studies in college

2.     With one (1) year work experience relevant to the job

3.     With good oral and written communications skills

4.     Willing to work long hours

5.     Can work independently but is also a team player

Functions and Responsibilities

1.  As the Administrative Assistant assigned to a Division in the Standards Bureau (SB), he/she shall track and record all incoming and outgoing documents (using google sheet)

2.  Shall provide follow-through activities on rush documents

3.  Shall file documents of the said Division and assist in its records management. Shall also serve as alternate Records Officer in document filing management

4.  Shall retrieve needed documents

5.  Shall prepare Special Order (SO)/Authority to travel of the Division staff

6.  Shall facilitate farming-out of files to OBSUs and other offices

7.  Shall facilitate request for services ICT, GSETs, etc. needed by the division

8.  Shall prepare ATRO/s

9.  Shall serve as an alternate to the incoming desk

10. Shall answer telephone calls

11.  Shall perform other related task/s assigned by the supervisor
