CSC Prescribed Qualification Standards

 

Education                    :           Completion of two-year studies in College

Experience                   :           1 year of relevant experience

Training                       :           4 hours of relevant training

Preferred Qualification (Competency-Based)

 

Education                    :           Completion of two-year studies in College in Office Public Administration, Computer Science, Management, Social Science and other related fields

Experience                   :           1 year experience in records management, data management, and/or office productivity tools

Training                       :           4 hours of training in record management, data management, and/or office productivity tools

 

 


Additional Competencies:

 

1.     With good written and oral communication skills;

Job Description:

Under the general supervision of the Program Focal Person tasked to assists in the performance of administrative support and clerical functions and does other related works pertaining to the implementation of the socio-economic programs for normalization and disaster resiliency (DRR) programs, project and activities (DRR-PPAs) for the Decommissioned Combatants (DCs) of the Moro Islamic Liberation Front (MILF).

 

Functions and Responsibilities:

1.     Assists along administration works in the preparation of physical and financial reports;

2.     Provides support in conduct of capacity building, meetings, workshops, field monitoring and the likes;

3.     Undertakes field monitoring to determine/identify and address logistics support;

4.     Encodes in the database tracking system all incoming and outgoing communications/documents of the section to be used as reference in the following up/monitoring the status/action taken;

5.     Faxes, scans and/or email copies of documents and office communications to different Offices, Bureaus, Services and other National Government Agencies for their information;

6.     Answers phone calls, assists visitors/clients of the section and refers their queries to concerned staff/division;

7.     Files and stores copies and memorandum, guidelines and other reference documents of the Division to safe keep pertinent documents and ensure that these can be easily retrieved when needed;

8.     Maintains and updates database of office records to ensure that there is an inventory of available sources/documents can be used as references for staff;

9.     Performs other tasks assigned by the Program Focal Person.

 

Job Outputs:

1.     Updated work activities/schedule of the Project Management Team (RPMT);

2.     Data tracking system incoming and outgoing communication

3.     Administrative requirements of official concerned, e.g. documents requested; and,

4.     Memoranda, letters, request and other communications.
