Job Description

We wish to inform you that the Department of Social Welfare and Development (DSWD) Central Office has three (3) vacant Contract of Service positions with details as follows:

Office: International Social Services Office

ADMINISTRATIVE AIDE IV

CSC PRESCRIBED QUALIFICATION STANDARDS

Education : Completion of two-year studies in College or High School graduate with relevant vocational/trade course

Experience : None required

Training : None required

PREFERRED QUALIFICATION STANDARDS

Education : Bachelor’s Degree preferably Secretarial Administration, and other related social sciences course

Experience :  One year of relevant experience in records keeping or management, filing, assisting in general office administration, assisting DSWD clients, setting up or maintaining any system that entails classification and retrieval an advantage.

Training : Eight (8) hours of relevant training  on records management and filing

Eligibility : Second Level Eligibility preferably RA 1080/ Career Service (Sub-Professional/Professional)

JOB DESCRIPTION

Functions and Responsibilities:

1.     Maintain Data Tracking System of Incoming and Outgoing documents;

2.     Type/Encode/Scan/E-mail correspondence related to functions of the office;

3.     Maintain and keep records classified for every SWAtt and of the division;

4.     Follow-up documents with Division Chief/Technical Staff;

5.     Attend to incoming calls/telephone inquiries;

6.     Assist in preparation of material for trainings/workshop/meetings;

7.     Act as Librarian and maintain ISSO library;

8.     Facilitate records disposal in consultation with the focal person in charge of the projects/documents;

9.     Received, record and track incoming and outgoing communication;

10.  Photocopy and ensure the availability of files/copies of outgoing documents;

11.  Follow-up status of documents forwarded to OBSUs;

12.  Prepare/facilitate request for catering services;

13.  Follow-up attendance of participants for the trainings/activities/meetings;

14.  Fax and follow-up invitation for meetings/trainings/activities;

15.  Request/Follow-up for the request of vehicle using the prescribed form;

16.  Set up laptop and LCD during meetings and ensure its safe keeping;

17.  Retrieve document needed by the staff and scan documents if more than 2 pages; and

18.  Perform other tasks, that may be assigned by the Supervisor/Director.
