ADMINISTRATIVE ASSISTANT II (REPUBLICATION)

Place of Assignment : National Response and Logistics Management Bureau

CSC PRESCRIBED QUALIFICATION STANDARDS 

Education : Completion of two-year studies in college or High School graduate with relevant vocational/trade course

Experience: One (1) year of relevant experience

Training : Four (4) hours of relevant training

Eligibility :  Career Service Sub-Professional / First Level Eligibility

PREFERRED QUALIFICATION STANDARDS

Education :  College graduate (Office Administration, Business Management or any related course)

Experience :  One (1) year of relevant experience

Training :  Four (4) hours of relevant training

ADDITIONAL COMPETENCY

1.      Computer literate with knowledge on MS Office (Word, Powerpoint, Excel, etc.)

2.      With knowledge on basic accounting

3.      Knowledge on Records Management

4.      Good written and oral communications skills

5.      Able to work harmoniously, competently and effectively even under pressure 

JOB DESCRIPTION

Under immediate supervision, performs secretarial, administrative support and clerical functions for their division/section; and does other related works.

Functions and Responsibilities: 

1.      Performs secretarial functions for the Director, Chief Administrative Officer, Supervising Administrative Officer and the Office of the Director;

2.      Facilitates pertinent papers from the divisions to be reviewed and approved by the Director;

3.      Route and distribute papers from NRLMB to the Central Office and all incoming mails and email;

4.      Tracks, checks, and ensures completeness and appropriateness of attachments and documents (incoming and outgoing);

5.      Prepares and files incoming and outgoing communications and monitor submission of reports and other documents required by the Office;

6.      Records, requests, and monitors office supplies requirements and issuances;

7.      Maintains files and records related to office function and services;

8.      Assists in the general functions of the Office of the Director;

9.      Records in the data tracking system and releases outgoing documents to concerned OBSUs;

10.    Submits reports, regular or special operations, as required; and

11.    Perform other tasks that may be assigned by the Director.
